How to Reactivate Dormant Shippers: A Practical Guide for Freight Brokers

Your lapsed shippers already know your name. Here is a simple, repeatable way to get back in front of them.

Why shippers go dormant

Most shippers do not leave because of a bad experience. They drift. A rep changes desks, a seasonal lane ends, a quote goes out and nobody follows up. A few months later, someone else is moving that freight.

That is good news. A dormant shipper already knows your brokerage, and usually just needs a reason and a person to call back.

Build the reactivation list

Start in your CRM or TMS. Pull every shipper with past loads and no activity in the last 3 to 12 months, plus every quote that never closed. For each record, capture:

  • Contact name, company, and a phone number you are allowed to call
  • Last shipment or last quote date, and the lane if you have it
  • Known language preference, and how you know it
  • Any contact restrictions or do-not-contact flags

Clean the list before anyone dials. Remove duplicates, suppressed contacts, and records with no usable phone. A smaller clean list beats a large messy one.

Set the rules first

Write down the script, the calling window, who gets warm leads, and how stop-contact requests are handled. Do it before the first call. It protects your reputation and makes the results comparable.

Make the calls

Keep the opener short and honest: who you are, that you worked together before, and whether they have upcoming freight or bids you could review. Then listen.

Give each record up to three attempts on different days and times. Log the outcome right after every attempt using one fixed list of dispositions, such as quote requested, follow-up date requested, wrong contact, or do not contact.

Hand off fast

Interest fades quickly. When a shipper says yes, the salesperson should get the details the same day: the need, the timing, and the best callback time. Track whether they followed up. Slow handoffs are the most common reason reactivation stalls.

Measure what matters

Track list quality, live connects, stated opportunities, time from handoff to follow-up, and the cost of the effort. After two weeks, you will know whether your dormant book is worth working every month.
